Find Your Feet Careers & Enterprises CIC (“Find Your Feet”, “we”, “us” or “our”) is committed to respecting your privacy and handling personal information fairly, securely and transparently. This notice explains how we use personal information when you visit our website, contact us, apply for or take part in our mentoring, training, employment, enterprise, community or referral support.

2. The information we collect
Depending on how you engage with us, we may collect:
• contact and identity information, such as your name, preferred name, date of birth, address, telephone number and email address;
• referral and participation information, such as the organisation or person who referred you, your goals, interests, availability, attendance and progress;
• education, employment, skills and support information, including information you choose to give us about qualifications, work experience, housing, caring responsibilities or barriers you face;
• information relevant to providing safe, accessible and appropriate support. This may include information about care experience, health, disability, SEND, emotional wellbeing or safeguarding needs;
• communications with us by email, telephone, text, WhatsApp, social media or in person;
• technical information when you use our website, such as IP address, device/browser information and pages visited, where collected through Wix or other tools.
We only ask for information that is relevant to the support, service or activity concerned. Please do not send us information about someone else unless they know you are doing so and it is appropriate for you to share it.

3. Where we get your information
We usually collect information directly from you. We may also receive information from a parent, carer, authorised representative, professional referrer, partner organisation, funder or delivery partner where you have been referred to us or they are supporting your participation. If we receive information about you from another source, we will provide this notice to you as soon as reasonably practicable.

4. How we use your information
We use information to:
• respond to enquiries and manage referrals, applications and waiting lists;
• assess whether our support or a particular programme is suitable and, where relevant, check eligibility;
• deliver mentoring, training, employability, enterprise and community support;
• communicate with you about appointments, activities and relevant opportunities;
• provide reasonable adjustments and keep people safe;
• monitor participation, outcomes, equality and impact;
• meet reasonable reporting requirements from funders and partners;
• manage our organisation, improve services, prevent fraud and meet legal obligations.

5. Our legal basis for using information
We use personal information where it is necessary to provide requested support or take steps connected with it; to meet a legal obligation; for our legitimate interests in running and improving our services; or where you have given consent. Where consent is the appropriate basis, you can withdraw it at any time. This will not affect information already used lawfully before you withdrew consent.
Some information we collect may be special-category personal data, for example health, disability, SEND, care-experience or wellbeing information. We will only use this where the law allows us to do so, including where you have given explicit consent, where it is necessary for safeguarding or legal obligations, or for equality monitoring carried out with appropriate safeguards.
6. Who we share information with

We do not sell your information. We only share it when necessary, lawful and proportionate. Depending on your circumstances, this may include:
• staff, mentors, volunteers and contractors who need the information to provide support;
• a named referrer, where you have agreed to their involvement or sharing is otherwise lawful and appropriate;
• funders and delivery partners, normally for eligibility, monitoring, reporting or programme delivery. Wherever possible, we use anonymised or aggregated information for reporting;
• service providers that help us run our organisation, such as Wix, GoHighLevel/LeadConnector, email, communications, file-storage and IT providers;
• safeguarding services, emergency services, regulators, police or other authorities where there is a serious concern about someone’s safety, a legal duty, a court order or another lawful reason to share.
We will not share sensitive information with a referrer, funder or partner simply because they ask for it. We will consider what is necessary, what you have been told, and the lawful basis for sharing.

7. How long we keep information
We keep personal information only for as long as it is needed for the purpose it was collected, for our programme, funding, safeguarding, legal and accounting obligations, or to deal with complaints. Retention periods vary by programme and record type. When information is no longer needed, we securely delete or anonymise it.
8. Keeping information secure

We use appropriate technical and organisational measures to protect personal information. Access is limited to people who need it for their role. However, no online service can guarantee absolute security, so please contact us promptly if you believe your information may have been misused.

9. International transfers
Some of our service providers may store or process information outside the UK. Where this happens, we will use appropriate safeguards required by UK data-protection law.

10. Website cookies
Our website is hosted through Wix and may use essential cookies and, where you allow them, analytics or other optional cookies. Under UK data-protection law, you may have rights to:
• ask for access to your information;
• ask us to correct inaccurate information;
• ask us to erase information in certain circumstances;
